Returns & Refund Policy
Effective date: 1 January 2025
Because Cyberized (“Cyberized,” “we,” “our,” or “us”) supplies professional and managed IT services—intangible work products delivered digitally—physical returns are not applicable. Nevertheless, we believe in fair dealing and offer refunds in specific circumstances as set out below.
1. Scope
This policy applies to all consulting engagements, managed‑service subscriptions, support retainers, and any other services purchased directly from Cyberized or via our website www.cyberized.be.
2. No Physical Returns
We do not sell hardware or other physical goods through the Site. Consequently, returns under traditional “return merchandise authorisation” (RMA) processes are not possible.
3. Refund Eligibility

Project cancellation before work starts | 100 % refund of any advance payment or deposit, minus bank fees, if you cancel in writing at least two (2) Business Days before the scheduled start date. |
Early termination of an ongoing SOW | Pro‑rata refund for unused pre‑paid hours or milestones not yet commenced, less any volume discounts already applied. |
Service outage or material breach by Cyberized | If we fail to meet a critical Service Level Agreement (SLA) or materially breach the contract and cannot remedy within fifteen (15) days, you may claim a partial or full refund proportional to the impact, subject to mutual agreement. |
Duplicate or erroneous payment | 100 % refund of the excess amount upon verification. |
Non‑Refundable Items
- Work already completed and accepted by the Client.
- Third‑party licences, cloud usage, or hardware procured on your behalf.
- Travel and out‑of‑pocket expenses incurred before cancellation.
4. How to Request a Refund
- Submit a written request to info@cyberized.be within thirty (30) calendar days of the incident or invoice date.
- Include: project name/SOW reference, invoice number, amount requested, and reason.
- We will acknowledge receipt within two (2) Business Days.
Review & Decision
- Cyberized will assess the request in good faith and provide a written decision within ten (10) Business Days.
- If approved, we will issue the refund via the original payment method (or bank transfer) within fourteen (14) calendar days.
5. Your Statutory Rights
Nothing in this policy limits your statutory rights under Belgian or EU consumer‑protection law, including the right to withdraw from a distance contract for certain digital services within fourteen (14) days (Art. 16(m) of the EU Consumer Rights Directive may apply).
6. Changes to This Policy
We may update this policy for legal or operational reasons. Changes become effective when posted on www.cyberized.be. Material changes will be announced by email to active Clients.
